Patron Athletics ("we", "us", or "our") provides athletic department management software and a companion mobile app ("Service") to high schools and the families connected to them. This policy explains what we collect, why, and what choices you have.

Information We Collect

• Account information: name, email address, and (for athletic directors) the school you administer. Authentication is handled by Clerk.
• Optional contact information: phone number for SMS notifications, if you opt in.
• Roster and team data: sport, team, role (parent/player/coach), and any rosters or schedules entered by the athletic director.
• Push notification tokens: a device-issued token used only to deliver in-app announcements you have subscribed to.
• Diagnostic data: minimal server logs (timestamps, request paths, error traces) used to keep the Service running.

How We Use Information

• To provide the Service: schedules, scoring, rosters, volunteer coordination, and announcements.
• To deliver notifications you have opted into (email, SMS, push).
• To process payments via Stripe (fundraising donations and any optional paid plans).
• To investigate abuse, enforce our terms, and comply with law.

Sharing

We do not sell personal information. We share data only with service providers acting on our behalf: Clerk (authentication), Stripe (payments), Resend (email), Twilio (SMS), Expo (push delivery), and our hosting provider. School data is visible to administrators of the school you belong to.

Children

Player rosters may include the names of student athletes provided by school staff. Mobile app accounts are intended for adults (administrators, coaches, parents). We do not knowingly create accounts for children under 13.

SMS / Text Message Notifications

Patron Athletics Mobile, a service operated by CIEF, LLC sends automated SMS text messages related to your school's athletics program. The permitted message categories are game schedule confirmations, score updates, practice time changes, volunteer shift reminders, team announcements, and important program alerts.

• Opt-in: Initial enrollment begins only by explicitly checking the optional, unchecked consent checkbox on the public Patron Athletics Mobile SMS sign-up page or in the signed-in Notification settings. Text alerts are voluntary: you can use Patron Athletics, accept a team invitation, volunteer, create an account, and save other notification preferences without providing a phone number or agreeing to receive texts. Team invitations, volunteer registration, account creation, and general profile edits never collect or create SMS consent.
• Message frequency: Up to 10 messages per month depending on your school's activity level.
• Message and data rates may apply. Check with your mobile carrier for details.
• To opt out: Reply STOP to any message to unsubscribe immediately. You will receive one final confirmation and no further SMS will be sent.
• For help: Reply HELP to any message or email support@patronathletics.com.
• SMS is delivered via Twilio. Standard carrier terms apply.

No mobile information, including your phone number and SMS opt-in consent, will be shared with third parties or affiliates for marketing or promotional purposes. Your phone number is used solely to deliver the athletic program notifications described above. All other data-sharing restrictions in the Sharing section above apply equally to mobile data.

Your Choices

• Manage email and push notifications in Settings. SMS can be enrolled in or turned off there; enrollment always requires explicitly checking the optional, unchecked consent box.
• Reply STOP to any SMS to unsubscribe from text messages at any time.
• Request account deletion by emailing support@patronathletics.com.
• Revoke push notifications in your device system settings.

Data Retention

We retain account and school data for as long as your account is active and for a reasonable period afterward to support reactivation, then delete or anonymize it.
